Quicker, easier online expense reimbursements at 3sHealth

Submitting expense claims for travel, training, or supply reimbursement has gotten much easier for 3sHealth employees.

What used to involve manually printing forms, gathering receipts, chasing signatures, and waiting for a paper cheque is now a simple online process 3sHealth employees can complete from a computer or phone.

In July, 2024, the finance system and reimbursement process were modernized. This allows employees to submit their expense claims using an online form with dropdown menus that make completion easier. Employees can: 

  • Upload a photo or scan of receipts;
  • Get alerts about missing information before submitting; 
  • Track a claim through automated updates; 
  • Receive reimbursement by direct deposit, usually within seven days; and
  • Managers receive automatic notifications to review claims, which helps to speed up approvals. 

In addition, the online process is faster because it removes several steps: no printing, no signatures to track down, no mailing delays, and no paper cheques. The information submitted is clearer, which helps finance staff process claims faster and with fewer corrections so that employees can receive their reimbursements sooner.

Measuring the impact

As part of our commitment to continuous improvement, 3sHealth tracks every improvement initiative our employees contribute to that creates a positive impact once successfully implemented.

Between April 1, 2025, and January 31, 2026, 135 3sHealth employees submitted 470 reimbursement claims online, averaging 47 claims each month. By March 31, 2026, a total of 564 successful reimbursements were processed.  

Employees say the new process is saving them time. Shelda Switzer, Director of Transformational Services at 3sHealth, submits claims once a month and says she’s finding the new online process to be a huge improvement.

“It’s quicker, easier, and completely transparent,” shared Switzer. “I can see exactly where my claim is in the process, fix any mistakes right away, and get reimbursed much faster than before. The online system makes everything simpler.”

Employees aren’t the only ones noticing the benefits.

Switching to online reimbursements is a small but important improvement,” said Matt Ortman, Director of Finance. “EFTs (Electronic Funds Transfers) are a more secure way to send payments, and employees receive their reimbursements more quickly. It makes the process smoother for staff and for finance.” 

This change is one of the many ways 3sHealth and system partners work to modernize processes, reduce unnecessary administrative steps, and make everyday tasks easier for employees, patients, and the system overall. 

Recognizing even more positive changes

An important aspect of change is acknowledging and celebrating when things go right. Especially when nearly 850,000 things go right!

Each year, 3sHealth recognizes successful improvement initiatives in the health system to which our employees have contributed. We use an audited methodology to calculate positive impacts to patients, residents, clients, and care providers: each initiative is analyzed to determine if it creates a demonstrable improvement that makes care more people-centred, accessible and timely, effective, efficient and sustainable, safe, equitable, and integrated.

By supporting health system partners like the Saskatchewan Health Authority, eHealth Saskatchewan, and others, 3sHealth contributed to initiatives that created 754,672 positive impacts for patients, residents, and clients in 2025-26. Another 94,657 positive impacts on caregivers were also measured.
